Creative Sales Coordinator

The Creative Sales Coordinator will be responsible for creating, developing, and writing proposals and contracts from initial inquiries to completed contracts for the company. They are expected to demonstrate innate creativity, achieve goals autonomously and as part of a team, meet deadlines, and to think “big picture” while working on the details.

Qualifications:

  • Minimum of 1-3 years experience in Hospitality, Event Services, or related field preferred

  • Bachelor's Degree or equivalent

  • Ability to communicate and set priorities and expectations with management

  • Desire to contribute significantly to the growth of the business

  • Proven ability to work in a fast-paced environment and manage multiple projects

  • Excellent Communications Skills and Customer Service Skills

  • Energy, commitment, professionalism, patience, flexibility & teamwork

  • Have the ability to work independently as well as be an enthusiastic team player

  • Destination knowledge or willingness to self-learn

  • High level of proficiency in MS Excel, PowerPoint and Word

Job Responsibilities - Sales Support:
The Creative Sales Coordinator will report directly to the Vice President of Sales. The primary role of this position is to support the sales efforts to ensure the satisfaction of our corporate clientele, and acting as a liaison for Newport Hospitality through creative customization, detail and exemplary service.

  • Ability to handle, qualify and maintain inquiries for business

  • Recognize urgent leads and delegate to a manager for timely follow up when necessary

  • Phone coverage for incoming calls

  • Consistently communicate daily with the VP of Sales workload update, both verbally and in writing

  • Actively support all aspects of sales including but not limited to site visits, agendas, client requests, gifts, presentations, conceptual proposals, costing, etc.

  • Preparation and participation in a weekly all-team staff meeting; create meeting agenda and supporting documents

  • Ensure that all company policies are followed and that company objectives, marketing goals, sales goals, and customer satisfaction survey scores are met

  • Initiate monthly trending topics meeting with the Operations team

  • Attend relevant industry networking events, inside and outside typical work-week hours

Job Responsibilities – Creative Proposal Developer:
The Creative Sales Coordinator will be responsible to take the lead to create, develop, and write proposals and contracts from initial inquiries to completed contracts for the company.

  • Receive and review RFP’s, prioritize each request based on current business levels

  • Maintaining proposal/contract lead-log for tracking of completed and pending proposals; present with the VP of Sales on a weekly basis during staff meetings

  • Develop and maintain positive, strong and effective working relationships with vendors and hospitality industry partners

  • Contribute to brainstorms and research new ideas, themes, etc.

  • Work closely with Director of Operations on proposal and contract revisions

  • Upon client signature of contract, organize an internal turnover meeting

Job Responsibilities - Proposal/Contract Software Content Manager:
The Creative Sales Coordinator is expected to manage the content of Newport Hospitality’s online proposal and contract software (Viper) by establishing custom price quotes, streamline content library data, and managing the proposal/contract development.

  • DMC software (Viper) management and liaison with the Viper support team

  • Secure/confirm all necessary pricing and details of elements for each proposal and incorporate into costing

  • Research and recommend new and innovative vendors and products/services offered

  • Responsible for developing and maintaining a full working knowledge of Newport Hospitality’s scope of products/services; support the sale of products/services offered

  • Maintain Viper content library by consistently updating information, photos, and pricing

General Conditions:

  • Actively participate in mandatory weekly and monthly team meetings

  • Working evenings and weekends as required – hours may exceed 40 per week in season

  • General office hours of 8:30AM – 5:00PM, Monday through Friday, unless otherwise approved

  • Accurately following all process protocols established by Newport Hospitality

  • Reviewing with management process templates and improving processes to simplify the program sales to operations process

  • Conducting oneself in a professional manner at all times with internal and external clients

  • Multi-tasking and time-managing to make the most efficient use of the work day productivity
